Medical AI Videos is a brand of Seen Group L.L.C-FZ, a company licensed in Meydan Free Zone, Dubai, United Arab Emirates, with a further office in Spring City, Pennsylvania, United States. This policy explains how we collect, use, share and protect personal data through this website and the work carried out through it.

We handle personal data in line with UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the "PDPL") and, where it applies to you, the EU/UK GDPR and applicable United States privacy law.

1. Who we are

The controller of your personal data is Seen Group L.L.C-FZ, trading as Medical AI Videos. You can reach us at contact@medicalaivideos.com.

2. The data we collect

Data you give us

• Your name, practice, job title, email address and phone number when you contact us or we work together.
• The content of your enquiries, briefs and correspondence.
• Billing and practice details where we enter into an engagement.
• Material you send us to work from, such as existing patient information leaflets, consent material, brand files and clinical notes on a procedure. We ask you not to send identifiable patient information, and we do not need it to make these videos.

Data collected automatically

• Basic technical information (IP address, browser and device type, referring page, and the pages you view) logged by our hosting provider for security and to keep the site running.
• Analytics data, where enabled, on how the site is used in aggregate.

We do not knowingly collect personal data from anyone under 18. We do not collect sensitive personal data through this website, and we do not need patient data to produce this work.

3. Why we use it, and on what basis

• To respond to you. Answering enquiries and preparing proposals. Basis: your consent, or steps taken at your request before entering a contract.
• To produce the work. Scripting, review and production of the videos we are engaged to deliver. Basis: performance of a contract.
• To obtain clinical sign-off. Sending scripts to the clinician you nominate and recording their approval. Basis: performance of a contract.
• To operate and secure the website. Hosting, abuse prevention and aggregate analytics. Basis: our legitimate business interest in a safe, working website.
• To meet legal and regulatory duties. Accounting, tax and free zone requirements. Basis: compliance with a legal obligation.
• To send updates where you have asked for them. Basis: your consent, which you can withdraw at any time.

4. Sharing

We share personal data only where it is necessary, and only with:

• Production and hosting suppliers engaged for your project, and only with what they need.
• Other Seen Group brands where your project includes work they carry out, and only with your agreement.
• Service providers acting on our instructions, such as hosting, email, cloud storage and accounting providers.
• Other brands in Seen Group, where your enquiry concerns their work and you have been told about it.
• Regulators, auditors or advisers where we are legally required to do so.

We do not sell personal data.

5. International transfers

We operate in both the UAE and the United States, and some of our service providers store data outside the UAE. Where personal data leaves the UAE, we transfer it only to jurisdictions offering an adequate level of protection, or under contractual safeguards, in accordance with Articles 22 and 23 of the PDPL.

6. Retention

We keep personal data only for as long as it is needed for the purpose it was collected, and then for any period required by UAE tax, accounting and free zone record-keeping rules, and for any period needed to evidence that a script was clinically approved before production. Enquiries that do not lead to an engagement are deleted after 24 months.

7. Your rights

Under the PDPL you may ask us to:

• Give you access to the personal data we hold about you, and information on how it is processed.
• Correct data that is inaccurate or incomplete.
• Delete your personal data, unless we are required to keep it.
• Restrict or stop certain processing, including direct marketing.
• Transfer your data to you or another controller in a structured, machine-readable format.
• Withdraw consent at any time, without affecting processing already carried out.

Write to contact@medicalaivideos.com and we will respond within the period required by law. If you are not satisfied with our response, you may complain to the UAE Data Office.

8. Cookies

This website uses only the cookies strictly necessary to serve the page; it does not set advertising or cross-site tracking cookies. If we later add analytics or marketing cookies, we will ask for your consent first through a cookie banner and update this section.

9. Security

We apply appropriate technical and organisational measures: access controls, encryption in transit, and limits on who inside the group can see what, to protect personal data against loss, misuse or unauthorised access. Where a breach is likely to prejudice the privacy, confidentiality or security of your data, we will notify the UAE Data Office and, where required, you.
